GL Period Comparison reports allow users to compare fuel and merchandise data for a selected month with data from the same month a year earlier. Reports include sales volume, gross margin, and variance values for the current and prior year. The current year-to-date activity is also available for comparison with the previous year-to-date activity.
Reports are available in summary and detail formats for both parent and child profit centers.
When you select GL Period Comparison reports, the system displays the following report criteria screen:

The following selection criteria allow you to specify the month you want to compare on the report and the way the report is viewed.
Enter the ending date for the month you wish to compare. You must make an entry in this field and it must be in mm/dd/yy format. For example:
01/10/99
You do not need to know the exact Period End Date. The system will find the actual End date for any date you enter.
You may specify how you want to view and/or print the report by choosing from the following selections:
· View Report Directly
· Condense Print
· Print Directly to LPN
· Display/Print Selection Page

The column headings for the report are as follows:
Fuel Sales Current Period
The columns beneath the Fuel Sales Current Period heading display fuel sales and gross margin values for the selected current month and for the same month last year. The percent of variance between the two months for each category is also displayed.
Fuel Sales YTD
The columns beneath the Year-To-Date (YTD) heading display total fuel sales and gross margin values for the current and previous year. The percent of variance between the two years for each category is also displayed.
Merchandise Sales Current Period
The columns beneath the Merch Sales Current Period heading display merchandise sales and gross margin values for the selected current month and for the same month last year. The percent of variance between the two months for each category is also displayed.
Merchandise Sales YTD
The columns beneath the Merch Sales Year-To-Date (YTD) heading display total merchandise sales and gross margin values for the current and previous year. The percent of variance between the two years for each category is also displayed.
The report column sub-headings are as follows:
Sales
The column values beneath the Sales sub-heading display the total merchandise/fuel sales values for the current/prior month or current/prior year. The first Sales column is the current year value for the specified period/year. The second Sales column is the prior year’s value for the specified period/year. Values are rounded to the nearest whole dollar or gallon.
GM
The column values beneath the GM sub-heading display the total merchandise/fuel gross margin values for the current/prior month or the current/prior year. The first GM column is the current year value for the specified period/year. The second GM column is the prior year’s value for the specified period/year.
The Fuel Sales Current Period and Fuel Sales YTD: GM values are calculated by using the following formula:

X = the sum of all fuel sales values for the current (or prior) month or current (or prior) year. Note: This is the value in the respective Sales column.
Y = the sum of fuel sales gross profit values for the current (or prior) month or current (or prior) year. Note: Gross profit values are retrieved and calculated by the system. They are not displayed on GL Period Comparison reports
The Merchandise Sales Current Period and Merchandise Sales YTD: GM columns are calculated by the following formula:
(Y / X) * 100
X = the sum of all merchandise sales for the specified current (or prior) month or current (or prior) year. Note: This is the value in the respective Sales column.
Y = the sum of merchandise gross profit amounts for the current (or prior) month or current (or prior) year. Note: Gross profit values are retrieved and calculated by the system. They are not displayed on GL Period Comparison reports
Values are rounded to two (2) places after the decimal.

Period Date
The Period Date columns contain data pertaining to the specified period ending date.
+/- Percent
The +/- Percent column displays the percent of difference between the current and prior month/year values. Unless otherwise noted, the +/- Percent column is calculated by using the following formula:
((X – Y) / Y) * 100
X = the first Sales column in the set of Sales columns for the Current (or YTD) period.
Y = the corresponding second Sales column in the set of Sales columns for the Current (or YTD) period.
Values are rounded to two places after the decimal.
The following sections are listed on the report:
Profit Center
The report displays the name and number of the profit center represented by the corresponding report data.
If a profit center has a child profit center, it appears as a hyperlink. Clicking on the hyperlink allows you to view summary report information for each child profit center.
Sales Totals
The values displayed in the Sales Totals columns represent the total values for the corresponding Fuel Sales and Merchandise Sales columns.
The GL Period Comparison Detail report displays more detailed information for each section listed on the GL Period Comparison Summary report.
Note: Values on the detail report are rounded to the nearest whole number, or they are rounded to a specified place after the decimal. Because each value is rounded, Total values may differ from the Summary report. The Summary report should be considered more accurate.

GM Total Dollars values are calculated by using the following formula:

X = the value listed in the Total Sales column to the left of the GM column.
Y = the sum of gross profit values for the corresponding current/prior month or year. Note: Gross profit values are retrieved and calculated by the system. They are not displayed on GL Period Comparison reports

Fuel Product Category
The Fuel Product Category section details the Fuel Sales section on the Summary report. Underneath this heading, a listing for each individual category pertaining to fuel sales is displayed. Values are rounded to the nearest whole gallon.
Fuel Product Category: Total Gallons
Total Gallons values are calculated for the Sales columns by summing all Fuel Product Category Sales values for the current and prior period. Total values are rounded to the nearest whole gallon.
GM Total Dollars values are calculated by using the following formula:
(Y / X)
X = the value listed in the Total Sales column to the left of the GM column.
Y = the sum of gross profit values for the corresponding current/prior month or year. Note: Gross profit values are retrieved and calculated by the system. They are not displayed on GL Period Comparison reports
+/- Totals
Total +/- values are calculated by using the following formula:
((X – Y) / Y) * 100
X = the first Total Sales column in the set of Total Sales columns for the Current or YTD period.
Y = the second Total Sales column in the set of Total Sales columns for the Current or YTD period.

If a profit center has child profit centers, you may click on the parent profit center’s hyperlink to view summary report information for its child profit centers.
Child GL Period Comparison Summary reports are based on the same selection criteria you entered for the parent profit center.
Summary information for child profit centers is calculated in the same manner as it is for parent profit centers. See the GL Period Comparison Summary report section for more information.
